Job Description:

Highly responsible position in the Herbert Wertheim College of Engineering's (HWCOE) Finance and Administration, Engineering Business Services (EBS) Section (Dean's Office). This position will function as a processor for all HR transactions supporting one or more departments within HWCOE. The individual in this role must possess a high attention to detail with preferred demonstrated skill in PeopleSoft specifically with Personnel and Payroll transactions, possess a good working knowledge of UF personnel and payroll procedures and actions, and possess excellent communication skills both oral and written with the ability to perform duties in an independent manner. As a Level 1 approver of various ePAF actions the individual is responsible for the review and processing of departmental personnel appointments (faculty, staff, OPS, GA's) ensuring appropriate documentation is provided and accurate, assist with time and labor review and approvals, as well as payroll review and processing of appropriate actions.


Responsible for processing various HR transactions in MyUFL, may include originating ePAF hires for Graduate Assistants, Fellows, OPS, Student Assistants, Staff and Faculty, terminations, retirement, leave cash outs, additional pay, etc. Responsible for tracking the completion of Exit Checklists for terminating employees and forwarding as appropriate to Central HR. May provide back-up as Level 1 ePAF approver as needed. Track training modules required for all new hires for completion and follow-up as needed.


Provide support and assistance for time and labor processing, may include reviewing paylists, requesting On Cycle/Emergency Checks, processing FMLA paperwork and appropriate leave entry. Entering distributions and updates submitted via PDRR from COE departments. Approve time and leave as appropriate for compliance with UF Policies. Track and process Paid Parental Leave repayments.


Process, approve or review for accuracy and route for appropriate signatures various HR forms and requests, this will include but not limited to; Gator 1 Card Authorization Requests, Email Set-up, Employment verification, Nepotism Approval Request, Alternate Work Location Agreement, Requests for New UFID, Transportation and Parking Request, Background Screening, etc. Maintain various EBS tracking reports.


Assist with the annual and probationary staff evaluation process. Track new hires and communicate with department supervisors and staff to provide reminders of appropriate dates and timelines to ensure required probationary evaluations are completed, signed and forwarded to Central HR. Annual staff evaluation process will include creating new forms, communicating with appropriate department staff required timeline to ensure compliance with Central HR deadlines. Receive all completed evaluations, track and follow-up to ensure that all are received, completed, signed, copied, filed and forwarded to Central HR. Will update position descriptions and process Position Update ePAF as needed.


Assists with job postings and support the recruiting process as needed.

Miscellaneous other duties as assigned by supervisor or required to ensure efficient operation of the Engineering Business Services Section. College Service Pin/Years of Service admin, staff awards, office supply orders, record retention, and database management.


Advertised Salary:

$22.00 - $24.00 per hour. Commensurate with qualifications and experience



Minimum Requirements:

Bachelor's degree in an appropriate area; or an equivalent combination of education and experience.



Preferred Qualifications:


+ Excellent working knowledge of UF Personnel and Payroll policies and procedures with the ability to confidently lead discussions and convey knowledge to departments.


+ Working knowledge of PeopleSoft, specifically with Personnel and Payroll applications


+ Must be detail oriented


+ Skilled in Microsoft Software, particularly Word and Excel


+ Must have excellent organization skills with the ability to prioritize work assignments.


+ Ability to communicate effectively with departments and other individuals on campus verbally and in writing.


+ Must exercise professionalism as a representative of the College Dean's Office


+ Ability to work independently to resolve problems.


+ Knowledge of basic accounting principles.


+ Ability to interact cordially with coworkers to accomplish common tasks, and contribute positively to a team.


+ Ability to function under highly stressful circumstances.
